Course Introduction

Records and Information Management for Administrators Course equips administrators, office professionals, records personnel, supervisors, and managers with practical skills for creating, organizing, storing, retrieving, protecting, retaining, and disposing of organizational records and information effectively. The course emphasizes how systematic information management supports operational efficiency, accountability, compliance, institutional memory, informed decision-making, and high-quality administrative services.

Modern organizations generate large volumes of information through emails, correspondence, reports, contracts, financial records, personnel documents, meeting records, databases, digital files, photographs, electronic communications, and other business systems. Participants will learn how to establish practical approaches for managing information throughout its lifecycle while ensuring that important records remain accessible, reliable, secure, authentic, and appropriately controlled.

The course examines the fundamental principles of records and information management, including classification, filing, indexing, metadata, version control, retention, retrieval, access, security, preservation, and disposition. Participants will explore how to develop organized filing structures and information repositories that reduce duplication, improve retrieval times, support administrative continuity, and enable authorized users to locate reliable information when it is needed.

Particular attention is given to the growing transition from paper-based administration to digital and electronic records environments. Participants will examine document-management systems, cloud storage, electronic workflows, collaboration platforms, digital signatures, automated classification, search technologies, and information governance practices while considering privacy, cybersecurity, access control, confidentiality, and appropriate retention requirements.

The course also addresses emerging challenges created by artificial intelligence, generative AI, automation, remote and hybrid work, increasingly decentralized information, large-scale digital content, and changing expectations around data protection. Participants will consider how AI and automation can support records classification, search, summarization, metadata creation, and workflow management while maintaining human oversight, accuracy, confidentiality, accountability, and appropriate information governance.

Through practical exercises, records classification activities, filing-system design, retention planning, case studies, document-control exercises, information-retrieval tasks, and workplace scenarios, participants will develop immediately applicable skills. By the end of the course, participants will be better prepared to manage organizational records systematically, improve information accessibility, protect sensitive information, support compliance and accountability, and contribute to efficient and well-governed administrative operations.
