Introduction

The Mobile Data Collection and Management using KoBoToolbox Course is designed to provide participants with the knowledge and practical skills needed to plan, execute, and manage digital data collection using KoBoToolbox a free, open-source platform widely used in humanitarian, development, research, and monitoring & evaluation settings.

The course begins by introducing the fundamental concepts of mobile data collection and digital form design. Participants will learn how to build user-friendly and dynamic survey forms using XLSForm, integrate features such as skip logic, constraints, GPS coordinates, multimedia, and multiple languages, and deploy them on KoBoToolbox. Emphasis is placed on designing robust data collection tools that minimize error and improve the quality and consistency of field data.

Participants will gain hands-on experience in managing data collection workflows, including configuring KoBoToolbox servers, collecting data online and offline using mobile devices, monitoring incoming submissions in real-time, and exporting and cleaning datasets for analysis. The course also explores best practices in data management, team coordination, and data security to ensure that sensitive field information is handled appropriately.

By the end of the course, participants will be able to independently develop, manage, and oversee digital data collection projects using KoBoToolbox. They will have the confidence to train data collectors, troubleshoot field issues, and ensure data integrity for effective analysis and reporting. This training is ideal for M&E professionals, researchers, program managers, humanitarian workers, and anyone involved in survey implementation or field data collection.

By the end of this course the learners should be able to:

·       To enhance skills in exporting, cleaning, and preparing data for analysis in common formats (Excel, CSV, SPSS, etc.).

·       To promote best practices in data management, privacy, and security throughout the data lifecycle.

·       To empower participants to manage end-to-end digital data collection workflows for use in research, monitoring and evaluation, and field operations.

Module 3: Setting Up KoBoToolbox and KoBoCollect

  • Installing KoBoCollect from Google Play and via APK (manual installation)
  • Configuring device settings and form security in KoBoCollect
  • Best practices for managing devices and surveyors in the field
  • Setting up and accessing the KoBoToolbox server (hosted and local options)
  • Uploading, deploying, and managing forms on the server
  • Reviewing submissions, user roles, and form version control

Module 4: Designing Forms Using Form Builder

  • Creating forms using the KoBoToolbox visual form builder
  • Using question types: single select, multiple select, GPS, image, ranking, etc.

Module 5: Designing Advanced Forms with XLSForm

  • Exporting datasets in CSV, Excel, SPSS, and other formats

Module 8: Mapping and GIS Integration

  • Introduction to spatial data and GPS collection in KoBo
