Introduction

Effective financial management is critical for Non-Governmental Organizations (NGOs) to maintain transparency, accountability, and sustainability in their operations. The course also covers how to maintain internal controls, manage restricted and unrestricted funds, and automate recurring transactions all within the QuickBooks environment.

Course Objectives:

By the end of this training, participants will be able to use QuickBooks accounting software for NGOs, in a way they can easily:

·       Understand the fundamentals of NGO financial management, including donor compliance, fund accounting, and reporting standards specific to nonprofit organizations.

·       Set up and customize QuickBooks for nonprofit use, including creating a chart of accounts tailored to NGO programs, funds, and grants.

·       Record and categorize income and expenses accurately, using QuickBooks features to manage donations, grants, and program-related transactions.

·       Track restricted and unrestricted funds, and allocate costs across multiple projects or funding sources to ensure financial accountability and transparency.

·       Generate essential financial statements and reports, such as income statements by program, fund balance reports, and donor-specific reports, directly from QuickBooks.

·       Manage donor and grant tracking efficiently, ensuring all funder requirements are met and donor relationships are supported with accurate financial data.

·       Apply internal controls within QuickBooks, including user permissions, audit trails, and reconciliations, to safeguard organizational assets and ensure compliance.

·       Prepare for audits and donor reporting, using QuickBooks to produce documentation and financial data that aligns with international NGO standards and donor expectations.

·       Utilize budgeting and forecasting tools in QuickBooks, enabling informed decision-making and proactive financial planning.

·       Enhance day-to-day financial operations, including managing payroll, petty cash, and recurring transactions, through automation and best practices in QuickBooks.
