Course Introduction

The Employee Expense Reimbursement Auditing Training Course provides a practical framework for auditing employee claims, reimbursements, business expenses, travel costs, subsistence claims, mileage, accommodation, entertainment, and other employee-paid expenditures. The course helps participants determine whether reimbursed expenses are legitimate, business-related, properly authorized, accurately calculated, adequately supported, and correctly recorded in the organization's financial records.

The course examines the complete employee expense lifecycle from expense authorization and employee spending through claim preparation, receipt submission, managerial approval, reimbursement, accounting, and reconciliation. Participants learn how to evaluate policies, approval limits, eligible expense categories, spending thresholds, documentation requirements, and reimbursement rates while tracing individual claims to reliable supporting evidence.

A major component of the training focuses on substantive testing and expense verification. Participants learn to inspect receipts, invoices, travel documentation, mileage records, expense reports, corporate-card statements, booking information, payment evidence, and other supporting records. The course also addresses claims involving foreign currency, per diems, mileage allowances, advances, partial reimbursements, tax-sensitive expenses, and expenses incurred through digital purchasing and travel platforms.

The program develops practical skills for identifying duplicate, inflated, personal, unsupported, fictitious, or otherwise inappropriate claims. Participants learn to compare expense claims with corporate-card transactions, payroll records, travel bookings, calendars, attendance information, procurement records, and other independent sources. Particular emphasis is placed on identifying duplicate receipts, altered documentation, split claims, repeated transactions, unusual vendors, excessive spending, and claims submitted outside required timeframes.

Fraud and control risks are integrated throughout the course. Participants examine risks involving fictitious expenses, false receipts, personal purchases, duplicate reimbursement, manipulated mileage, inflated accommodation costs, unauthorized entertainment, misuse of corporate cards, collusion, and management override. The training also addresses automated expense-management systems, optical character recognition, mobile expense applications, artificial intelligence, cybersecurity, access controls, data privacy, and continuous expense monitoring.

Through practical exercises and case studies, participants develop the ability to perform end-to-end employee expense reimbursement audits using controls testing, document inspection, recalculation, transaction matching, data analytics, exception analysis, and investigative procedures. Participants learn to quantify inappropriate or excessive reimbursements, identify root causes, evaluate control effectiveness, document audit evidence, and develop practical recommendations that strengthen expense governance, employee accountability, cost control, fraud prevention, and financial reporting.
